Summary:

We are seeking to employ a Tender and Bid Management Administrator with a proven track record in tender and contract management.

Roles and Responsibilities:

  • Receive leads, ITTs, PQQs, and TQs from portals, emails, and document-sharing platforms.
  • Log all leads, ITTs, PQQs, TQs, etc., ensuring proper action and correct distribution.
  • Schedule and coordinate tender review meetings, including taking minutes, assigning action items, and tracking.
  • Organize bid team reviews and senior management reviews.
  • Coordinate and complete PQQs, including all supporting evidence.
  • Produce final bid documents and arrange the supply of bid documents to the customer within defined tender deadlines.
  • Ensure bid and proposal WORD documentation is professionally formatted, collated, and presented.
  • Keep respective agendas, attendance lists, and action trackers up to date.
  • Maintain the status of generic proposals, ensuring they are reviewed, revised, and re-approved as necessary.
  • Enter data into the secured document storage repository.
  • Liaise with the organization’s document controller to ensure the safekeeping of classified documents, adhering to required procedures and regulations.
  • Provide reports throughout the bid process, offering weekly status and exception reports as required.
  • Collate tender submissions and client feedback.
  • Provide reports and analysis on tender success and failure rates.
  • Maintain hard and soft copies of tender documents, complete tender document registers, and liaise with the customer project team to ensure correct and timely receipt of required information.
  • Undertake other administrative tasks as required.
  • Prior experience with NCDMB requirements.
  • Management of tender and sales mailboxes.

Qualification and Experience:

  • Previous technical administration experience within the oil and gas sector.
  • Minimum of 5 years of experience in Tender and Contract Management.
  • Previous exposure to PQQs/ITTs and TQs.
  • Ability to work under tight deadlines.
  • Previous experience in providing administrative support, ideally in sales and marketing or a commercial environment.
  • Knowledge of contract law or a law degree would be advantageous.
  • Computer literate and proficient in the use of MS software, particularly Word, Excel, Outlook, PowerPoint, and Visio.
  • Excellent telephone and communication skills.
  • Adaptable and flexible.
