Requirement:

This role oversees the administration, logistics, and procurement aspects of the program, with a focus on instilling a culture of compliance among program personnel. The Administrative Technical Assistant collaborates closely with the Programs Unit and reports to the program officer.

Job Description :

Administration and Logistics:

  • Adheres to and supports the implementation of organizational policies, procedures, and guidelines.
  • Assists the Forum in communications, information management, and coordination as required.
  • Manages logistics for meetings, records minutes, and ensures timely dissemination.
  • Handles travel and accommodation arrangements for NIF guests and staff in collaboration with 3Is security and operations team.
  • Supports the organization of trainings, meetings, workshops, events, and other INGO Forum activities.
  • Maintains an accurate inventory of office supplies, stationery, and consumables, ensuring timely restocking.
  • Manages logistical aspects of NIF events and workshops, including procurement processes, participant tracking, and agenda support.

Procurement:

  • Assists the Program Officer in procurement processes for NIF internal and external meetings, events, and purchases/services.
  • Ensures proper filing and updating of procurement and contract trackers.
  • Maintains an electronic filing system for all procurement and contractual documents.
  • Manages payment processing for consultants, vendors, and service providers, including invoicing and payments.

Education:

  • University degree in Business Administration, Social Science, Management, or a relevant field.

Experience:

  • A minimum of 3 years of experience in financial, administrative, and procurement systems.

Soft Skills:

  • Flexibility and multitasking
  • Ability to work independently
  • Excellent communication skills, including document drafting
  • Experience in administration, procurement, and logistics
  • Ability to work under pressure, independently, and with limited supervision
  • Quick learner and adaptable to changing situations
